John Pye Auctions requires an individual who has the discipline and self-confidence to own this role and to manage a busy reception, as well as administrative requirements across divisions within our flagship facility. The purpose of this role is to undertake reception and administrative tasks, primarily for the Luxury division which operates from four UK locations, with the focus on managing the administration of the Luxury auction cycle from receipt of assets to post-auction reconciliation. There will also be an additional requirement to support the Business Assets and Property divisions, where necessary. You will report directly to the Bond Street Manager and be the central point of contact for all inbound customer enquiries relating to the Luxury division, and other departments for the London area. You will be based at the JPS flagship office and showroom on Bond Street, in the heart of London’s Mayfair. To be successful in this role the post holder will need to have strong administration skills with ECDL advanced knowledge of Microsoft Office, and customer service experience with excellent communication and self-management skills to match. Previous experience of working within the auction industry is desirable but not essential as full training will be provided.

Tasks will include but not be limited to:
• Front of house/reception duties to include but not be limited to; client hosting, customer relations, receiving visitors to the site, answering all inbound calls and transferring /taking messages as required.
• Auction administration from point of receiving assets in to after sales reconciliation.
• Be the first point of call for all internal and external communications for the Luxury division and other departments in the London area.
• Showroom management – to provide a professional and welcoming environment for all site visitors as well as at corporate events and public viewings.
• Liaise with team members to provide administrative support throughout the Luxury Assets auction life cycle.
• Provide administrative support to other departments within the office when required.
• Follow and complete necessary administrative procedures for stock movement both internal and external.
• Undertake ad-hoc tasks as necessary to meet the business needs and for your own personal development.

Skills required:
• Must have previous experience in sales invoicing and stock management as well as customer service.
• Excellent verbal and written communication, with the ability to communicate with a variety of people to provide excellent customer service.
• Effective time management and organisation skills, to prioritise workload in a fast-paced, evolving and unpredictable working environment.
• Strong attention to detail and ability to multitask.
• Ability to work under pressure and meet deadlines.
• Must be an advanced Microsoft package user i.e. Word, Outlook, and specifically Excel.
• Team player, with the ability to work and communicate with staff at all levels and positions across the business.
• Strong self-management skills and the ability to adapt to a rapidly changing environment.
• Flexibility to undertake additional tasks within the business when required.

This position is to cover extended leave and will be for a minimum of 12 months with the following responsibilities:

• Involvement in weekly supplier payment run
• Overseeing client payments & associated administration on auction platform including audit of payments in IDS
• Preparation of luxury statements for client payments
• Supervision of 1 finance assistant
• Monthly review of supplier statements including summary of o/s issues
• Reconciliation of case management system to SAGE
• Overview of finalisation of credit card spend, importing spreadsheet into SAGE
• Overview of auction sheets & import into SAGE
• Updating of prepayments schedule & import into SAGE
• Updating fixed asset schedule, calculating & posting depreciation into SAGE
• Updating fixed asset file of copy invoices for auditors
• Updating legal & professional file of copy invoices for auditors
• Reallocation of costs across departments
• Reconciliation of NatWest client account in SAGE
• Calculation of NatWest Payover
• Quarterly VAT return including performing associated sense checks
• Review of purchase order templates
• Involvement in company insurances
• Final check of month end folder before passing to FC including departmental p& l reports & profit summary
• Ad-hoc administrative tasks

Skills & characteristics:
• ACCA/ACA/CIMA part or qualified with experience in a similar hands on role
• SAGE 50 including departmental reporting

Vehicle Auction Porter

Job purpose

Carry out full range of porter duties at Port Talbot vehicle pound

Duties and responsibilities

  • Ensure all aspects of Health and Safety and Environment policies are observed at all times
  • Receive vehicles into the compound,  prepare the car for auction, photograph the vehicle for sale.

The role split between the office and the vehicle pound with some administration elements. The wearing of personal protective equipment at all time will be necessary
