Financial Assistant

Job Description:


We are the UK’s leading commercial auction house network, fusing traditional auction principles with modern day digital technology and are looking for a Financial Assistant to join our Finance Team at Head Office. Duties will include:

● Collating all purchase invoices for approval
● Coding all invoices in respect of nominal ledger and department
● Checking & reconciling supplier statements
● Dealing with any enquiries from suppliers relating to payment / disputes
● Ensuring supplier ledger accuracy maintained with knowledge of reasons for unpaid amounts
● Setting up new accounts where necessary
● Ordering goods on behalf of departments
● Ensuring all relevant invoices are approved for payment and completing the supplier payment run
● Processing staff expenses
● Posting all invoices, banking sheets and vendor reports into SAGE
● Email notifications of PT & Service invoice payments, updating FM & Allocating on SAGE
● Loading all Business Asset statements into case management software including any PT statements
● Complete analysis of credit card spend for import into SAGE
● Post client payments onto SAGE
● Filing of all invoices in accordance with department coding system
● Proactively involved in process improvement
● Checking of statement of accounts and payment processing thereof
● Weekly updating of auction sheets
● Monthly updating of Storage Space invoices
● Barclays client deposit reconciliation
● Maintaining petty cash record
● Reconciling office account on SAGE
● Updating case management software for rechargeable costs
● Assisting in stock purchases from National wholesaler
● Summarise coffee lounge receipts
● Printing 833 statements and ensuring timely payment to HMRC
● Month End report checks – FM/IDS
● Vehicle auction duties including, preparing weekly spreadsheet across sites of BP & VC, posting into SAGE reallocation of BP & post VC and updating Dept 25 spreadsheet on weekly basis
Ad hoc projects delegated by seniors.

Skills & Characteristics:

● A robust working knowledge of SAGE 50 is essential as is 2 years’ experience working in a similar Finance role preferably within a SME
● Good analytical skills and great attention to detail are also essential
● A flexible attitude and can-do approach are necessary in this fast pased business

We’re looking for a social media executive to grow our followers, engage and retain them, and help convert them into leads, customers, and active fans and promoters of our company. You should have command of best practices and trends in social media marketing, enjoy being creative, and understand how to build a digital audience.

Responsibilities:
● Build and manage the company’s social media profiles and presence, including Facebook, Twitter, LinkedIn, You Tube, Instagram and potentially any additional channels
● Create engaging, shareable content appropriate for specific networks to spread our brand and our content
● Engage in relevant social discussion about our company, competitors, and/or industry, both from existing customers and leads and from brand new audiences that don’t yet know us
● Report on marketing KPIs, measure success of campaign and drive for continuous improvement
● Run regular social promotions and campaigns and track their success (paid and organic)

Luxury Assets Junior Valuer

Job Description:


To identify, value and catalogue Jewellery, Watches and Luxury Accessories for our London and regional Luxury salerooms in a timely fashion, working to very tight deadlines on a weekly basis. It will also be necessary to complete administrative and photographic duties relevant to the sale process to ensure the smooth running of the processing centre and the online weekly auction cycle. To be successful in this role the post holder will be flexible and adaptable to the challenging nature of the auction lifecycle, and have some experience in the Jewellery industry. We are looking for someone who is passionate about Jewellery and Watches and has an interest in working towards GIA or GEM-A diamond and coloured stone qualifications, if they don’t already have these.

Tasks will include but not be limited to:

  • Jewellery valuing and cataloguing for our UK wide weekly auctions, including identification and research
  • Processing weekly deliveries of jewellery, watches, silver and luxury accessories
  • Identifying gemstones, makers and conducting diamond gradings
  • Liaising with other members of the department to ensure that deadlines are met
  • Full responsibility for following and completing necessary administrative procedures
  • Assisting with the photography, videography, lotting and re-lotting items when required
  • Maintaining transparent communication. Appropriately communicate organisational information with internal stakeholders through and appropriate email, telephone, and regular interpersonal communication
  • Support in all other areas of the business as required by the Valuations Supervisor

Skills required:

  • Experience working in the jewellery and watch industry
  • Excellent writing skills in English, and ability to combine an understanding of the material with a commercial sense of promoting value
  • Confident valuing pre-owned and modern jewellery and gemstones for the secondary market
  • Excellent self-management and planning skills and the ability to adapt to a rapidly changing environment.
  • Excellent verbal communication and interpersonal skills
  • Ability to work under pressure to tight auction deadlines, balancing photography, cataloguing and sale administration
  • Ability to thrive within a fast-paced team environment
  • Proactive approach to working within a team
